How to Access Your BYU Email

Your BYU Email account is accessed with Microsoft Outlook using your BYU Microsoft 365 account. Watch our video demos to learn how to access Outlook on your preferred devices. Or, click the Log In button (above) if you're in a hurry.

ALL STUDENTS AND EMPLOYEES ARE TO SEND AND RECEIVE SCHOOL COMMUNICATION THROUGH BYU-PROVIDED EMAIL ONLY. THIS HELPS US COMPLY WITH FEDERAL REGULATIONS (FERPA) AND INTERNAL SECURITY PRACTICES.

 

CHANGES TO STUDENT EMAIL COMMUNICATION

Employees are to communicate with students using the student's NetID, for example, netid@byu.edu

IF YOU WORK DIRECTLY WITH STUDENTS, PROVIDE YOUR BYU EMAIL ADDRESS TO THE STUDENTS AND REMIND THEM TO CHECK THEIR BYU EMAILS FREQUENTLY.

Questions about the changes

  • All students and employees were required to use their BYU email addresses beginning May 10, 2023.

  • You simply use netid@byu.edu as your username and your associated BYU password to log in to your inbox.

  • Starting May 10, 2023, every email communication to BYU students from a BYU entity must be sent to the student's BYU-provided email. This change is to help BYU align with security best practices and federal regulations (FERPA).

  • The following is a partial list containing a few examples of email communications that must only be sent to @byu.edu addresses as well as exceptions for those who don’t have BYU email:

    • Information about coursework through Learning Suite and other LMS platforms like Canvas must be sent to BYU email addresses.
    • Notifications related to student finance or other aspects of student life must be sent to BYU email addresses.
    • Faculty must communicate to their students through approved, campus-provided email accounts and not to or from personal addresses.
    • Communications destined for non-BYU users (pre-admitted students, alumni, contractors, etc.) can be sent to personal addresses as these users don’t have a campus-provided email account.
  • Auto-forwarding of all email messages from a campus mailbox to an external account (Gmail, MSN, Yahoo, etc.) is not permitted.

  • Yes! There’s a form to request a new mailbox at support.byu.edu. One of the options is a Shared Mailbox, which allows multiple people to have access to log into the account and send messages. Each user signs in with their NetID and NetID password, just like a personal account. This can be especially helpful if membership of the group changes frequently.

Students

  • Yes. Both the emails you receive from BYU groups and employees as well as the university-related messages you send should be paired to your BYU email address.

  • Yes. Clubs should use a shared mailbox. Contact support at 801-422-4000 or it@byu.edu for more info.

  • Yes. Both your class-related communications and your BYU employment communications should come from your BYU email address.

Employees

  • As we start moving students to this new email inbox, they might forget from time to time. We recommend you reply to include the student’s campus address in the CC line with a message that a full reply will be directed to the campus address.

  • Yes, these groups need to use BYU email addresses to communicate with their members.

  • Learning Suite and Canvas are migrating to this new field and starting May 10 will only provide the campus address on its platform. Class rosters will display the new address as well.

  • To assist with this effort, OIT has created a new email field accessible through the Persons APIs called BYU_INTERNAL_EMAIL. Automated systems on campus will use this field to send email communication. The format of these email addresses is netid@byu.edu and will be standard for most campus users. We will publish addresses in approved email tenants outside OIT’s tenant (Law School, Mathematics, Stats, CS, Engineering, etc.) in this new field.

    All campus systems were required to be prepared and ready for a coordinated cutover on May 10, 2023. Starting May 10, these systems were pointed to the new email address to direct communications to campus email accounts. All systems were migrated simultaneously to avoid confusion.  

  • For opt-in lists (especially where there is a mix of BYU and off-campus users), personal (non-BYU) email addresses can be used.

Exchange Email Encryption

Want to encrypt your emails sent from your BYU Exchange account? You can do this in Outlook by composing a new email and choosing Encrypt. You will find various options for encryption and security options.
EMAIL FILTERING

Email (SPAM) filtering in BYU email accounts is handled by Microsoft 365 Defender. The Email Filtering System page provides instructions for end-users including how to access quarantined mail.
